Position Summary:

We're looking for a detail-oriented and proactive Administrative Assistant to support our sales team with quoting, order processing, reporting, and customer communications. Key Responsibilities:

  • Provide administrative support to the Plumbing Sales Team, ensuring smooth day-to-day operations.
  • Prepare quotes, generate work orders, and handle customer returns and credits.
  • Track customer-specific pricing, rebates, and purchase history for strategic follow-up
  • Maintain accurate documentation and digital filing systems.
  • Coordinate with internal teams and vendors to follow up on order lead times, pricing issues, and freight concerns.
  • Run reports and summarize data for accounts with declining sales, new business leads, and targeted growth opportunities.
  • Schedule and support meetings, including notetaking, agenda preparation, and material distribution.
  • Create and update sales presentations and internal documents.
  • Assist in onboarding and tracking of new customers, including data entry and communication follow-up.
  • Monitor backorders, product availability, and shipment progress to ensure timely delivery
  • Assist with invoice corrections, customer account maintenance, and follow-through on special pricing agreements.
  • Communicate with internal and external stakeholders via phone and email to support sales initiatives and resolve issues.
  • Coordinate promotional efforts and prepare materials for events, meetings, and customer outreach.
  • Support internal cross-functional teams (sales, operations, marketing, credit, and HR) with data and reporting needs.

Knowledge, Skills, and Abilities:

  • Excellent communication and organizational skills
  • Strong Microsoft Excel, Word, and Outlook skills (Eclipse knowledge a plus)
  • Ability to multitask and adapt in a dynamic environment
  • Attention to detail and a customer-first mindset

Education and Experience:

  • 1–2 years of administrative or sales support experience preferred
  • High School Diploma or equivalent required (Associate or Bachelor’s degree a plus)
  • Valid driver's license and ability to pass a substance screening
