Position Summary:

We are seeking a highly organized, detail-oriented Administrative Assistant to support our ICE (Intercompany Equipment) team. This is a unique opportunity to blend administrative work with coordination of our company fleet—perfect for someone who loves to stay organized and keep operations running smoothly.

Key Responsibilities:

  • Provide a positive customer experience through professional communication and prompt follow-up.
  • Answer department phones and assist with ICE billing and quoting.
  • Administer gas card program and coordinate internal use of company fleet vehicles.
  • Maintain records for inspections, maintenance, licensing, insurance, and other vehicle compliance requirements (DOT, OSHA, FMCSA).
  • Support vehicle claims and incident tracking.
  • Help create and maintain SOPs and policies related to fleet operations.
  • General office support: ordering supplies, scanning, filing, data entry, and typing correspondence.
  • Act as a liaison between ICE Drivers and HR for time off tracking and support.
  • Assist with special projects and reports as needed.

Knowledge, Skills, and Abilities:

  • Strong attention to detail and ability to multitask.
  • Clear communication and customer service skills.
  • Comfort using Microsoft Office and standard office equipment.
  • Familiarity with fleet-related systems is a plus!
  • Experience working in a fast-paced office setting.

Education and Experience:

  • 1 to 2 years of administrative experience, ideally with exposure to DOT regulations or fleet coordination, preferred.
  • High School Diploma or equivalent required (Associate or Bachelor’s degree a plus).
  • Valid driver's license and the ability to pass a substance screening.
