As a Submittal Specialist at Etna Supply, you'll play a key role in preparing accurate shop drawings and operation manuals that support our commercial plumbing projects across multiple divisions. This role is perfect for someone who enjoys working behind the scenes to keep things running smoothly, has a knack for organization, and can juggle multiple deadlines without missing a beat. It’s a critical position that combines technical know-how with strong communication and coordination skills.

Essential Responsibilities:

  • Create accurate and professional shop drawings, submittal documents, and O&M manuals.
  • Review and interpret project documents and understand the scope of work.
  • Retrieve product specifications and drawings from vendors or internal databases.
  • Ensure all submittals are completed on time and meet customer expectations.
  • Maintain organized digital files for each project.
  • Assist the Sales and Quoting departments on project needs across all divisions.
  • Track activities and maintain records in the department’s job tracking system.
  • Maintain working knowledge of commercial plumbing, PVF, underground, heating, and HVAC systems.
  • Identify and communicate any discrepancies or issues with quoted items or database entries.
  • Provide professional, courteous communication with internal teams and external customers.

Knowledge, Skills, and Abilities:

  • High school diploma or equivalent, or a combination of education and 6 months–1 year of relevant experience.
  • Knowledge of plumbing, HVAC, or mechanical systems is preferred.
  • Strong organizational and time-management skills with attention to detail.
  • Proficiency in Microsoft Office, Submittal 123, Adobe Professional, and Eclipse software.
  • Effective written and verbal communication skills.
  • Ability to perform accurate math calculations including proportions, percentages, and volume.
